Managing a team member
Profile fields, schedule colour, the three access permissions and passwords.
Manage on a team member row opens their record.
Profile
| Field | Notes |
|---|---|
| First name, Last name | Required |
| Required — their sign-in address | |
| Phone | |
| Position | Job title |
| Department | Drives the department filter on Scheduling |
| Role | Their role in the organisation |
| Timezone | Their working timezone |
| Schedule colour | Their colour on the Scheduling calendar |
Schedule colour is worth setting deliberately. It is how the whole team reads the calendar at a glance, so give people distinct colours rather than accepting whatever is assigned.
Account access
Three independent permissions:
| Permission | Grants |
|---|---|
| Active account | Can sign in and be scheduled |
| Report reviewer | Can be selected for reviews |
| Full access | Bypasses role restrictions |
Active account controls two things at once — signing in and being schedulable. Deactivating someone removes them from the team calendar list and the Create Job crew picker. This is the correct way to handle a leaver: deactivate rather than delete, so their name stays on the historical records they worked on.
Report reviewer governs who can check and approve laboratory results. See Moving tests through review.
Full access bypasses role restrictions entirely. Grant it sparingly — it also carries the ability to export all customer data, covered in Audit and data.
Changing a password
Enter a new password twice. Leave both fields blank to keep the current one — saving the record does not reset it.
