Emailing a client about a job
Using the scheduled-job email template and what the client receives.
The Email tab on a job sends the client a confirmation that work has been scheduled, using your organisation's job email template.
Filling it in
| Field | Notes |
|---|---|
| To | The client's email address |
| Cc / Bcc | Optional |
| Subject | Pre-filled, for example Job Scheduled - Geotechnical Investigation - Project #12275 |
| Introduction | Pre-filled with standard wording, editable |
The subject and introduction are populated from the template, so in most cases you only need to check the recipient and send.
What the client receives
The template assembles the job details — what work is scheduled, at which project, and when — around your introduction text. Your email signature from My Profile is appended, so set that up once if you haven't.
Before you send
- Check the To address is the right contact. If the client record has no email, this will be blank — add it on the client record first.
- Read the introduction. The default wording is generic; a sentence about access or what the crew will need is usually worth adding.
Sending is recorded against the job's docket — the docket history shows whether an email has been sent.
