This Privacy Policy explains how GeoCRM (ABN 43 964 604 292) collects, holds, uses and discloses personal information through geocrm.com.au, demonstrations, customer onboarding, support and the GeoCRM software service.

This policy is intended to support transparent handling of personal information under applicable Australian privacy law, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

1. Scope

This policy applies to personal information handled by GeoCRM as:

  • operator of the GeoCRM website and demo-booking process;
  • provider of the GeoCRM software service;
  • recipient of sales, support, billing and business communications; and
  • service provider processing information entered into GeoCRM by a customer or its authorised users.

When a customer enters personal information into GeoCRM, that customer is responsible for having the authority to collect and use it. GeoCRM processes that information to provide the contracted service and in accordance with the customer agreement.

2. Personal information we may collect

Depending on how you interact with GeoCRM, we may collect:

  • your name, job title, organisation and work contact details;
  • demo requests, meeting details, enquiries and correspondence;
  • account identifiers, authorised-user details and access permissions;
  • subscription, proposal, invoicing and payment-administration information;
  • support requests, feedback and training communications;
  • project, client, site, workforce, docket, report, equipment or other information that an authorised customer user enters into the service;
  • technical information such as IP address, browser type, device information, session activity, login events and service logs;
  • essential cookie and preference information used to operate and secure the website and service; and
  • website measurement information such as pages viewed, referral source, approximate location, browser and device information, and interactions with demo, pricing, email and phone links.

GeoCRM is not designed to collect sensitive information unless it is genuinely required for a customer workflow and lawfully provided. Please do not provide sensitive personal information through a general enquiry or demo form.

3. How we collect information

We may collect personal information:

  • directly from you when you complete a form, book a demo, contact us, create an account or use the service;
  • from your employer or another customer administrator who creates or manages your authorised-user account;
  • through ordinary business communications, onboarding, support and billing processes;
  • automatically through service logs, security controls, sessions and essential cookies;
  • automatically through Google Analytics; and
  • from publicly available business sources or referrals where appropriate for business-to-business communications.

Where practical, you may contact GeoCRM without identifying yourself. We need accurate contact and organisation details when they are reasonably necessary to provide a demonstration, account, support response or contracted service.

4. Why we collect and use information

We may use personal information to:

  • respond to enquiries and arrange demonstrations;
  • prepare proposals, Order Forms and customer agreements;
  • create and administer accounts and authorised-user access;
  • provide, maintain, secure and support the GeoCRM service;
  • process customer instructions and store Customer Data;
  • provide onboarding, training and service communications;
  • issue invoices and administer the commercial relationship;
  • detect, investigate and prevent misuse, security incidents and technical problems;
  • understand service performance and improve product usability;
  • measure consented website usage, organic search performance and lead-generation journeys;
  • comply with legal obligations and resolve disputes; and
  • send relevant business communications where permitted, with an option to unsubscribe from marketing.

5. Disclosure of personal information

GeoCRM may disclose personal information to:

  • authorised users and administrators of the relevant customer account;
  • Australian-based infrastructure, communications, support and professional service providers engaged to operate the business and service;
  • Google, as the provider of Google Analytics for website measurement;
  • accountants, insurers, legal advisers and other professional advisers;
  • regulators, courts, law-enforcement bodies or other recipients where required or authorised by law; and
  • a purchaser or successor as part of a proposed or completed business sale, restructure or transfer, subject to appropriate confidentiality and privacy protections.

GeoCRM does not sell personal information and does not provide website analytics data to Google for advertising personalisation.

6. Australian hosting and overseas disclosure

GeoCRM hosts production Customer Data and the core operational data entered into the GeoCRM software service in Australia using Sydney-based infrastructure. Website analytics is separate from Customer Data stored in the GeoCRM application.

Website measurement information is sent to Google Analytics. Google operates infrastructure around the world, so this information may be processed outside Australia in countries where Google or its service providers operate. Google states that Google Analytics uses IP addresses at collection time to derive approximate location and discards them before the information is logged in an Analytics data centre. GeoCRM limits the analytics events it sends, disables Google Signals and advertising-personalisation signals, and does not send form contents or direct contact details to Google Analytics.

Using another external website or social-media platform linked from the GeoCRM website may involve that third party handling information under its own privacy terms.

7. Storage, security and retention

GeoCRM takes reasonable technical and organisational steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Those steps may include access controls, authentication, logging, backups, software maintenance and restricted administrative access appropriate to the service.

No internet service or storage system can be guaranteed to be completely secure. Customers and authorised users must protect their login credentials and notify GeoCRM promptly of suspected unauthorised access.

GeoCRM retains personal information only for as long as reasonably required for the purposes described in this policy, the customer agreement, legitimate business record-keeping and applicable law. Customer Data is handled after termination as described in the SaaS Terms or relevant Order Form.

8. Cookies, analytics and service logs

The website and service may use essential and functional cookies or browser storage for sessions, security, booking workflows, user preferences and remembering your analytics choice. GeoCRM may also keep server and application logs needed to operate, diagnose and protect the service.

Google Analytics may set cookies beginning with _ga to distinguish a browser and understand sessions. GeoCRM uses this information to measure page usage and lead journeys such as demo-page visits and completed demo bookings. Analytics events do not include the name, email address, phone number, company name or notes entered into a form.

You can manage or delete analytics cookies through your browser's privacy and cookie controls.

9. Direct marketing

GeoCRM may send relevant business-to-business updates where permitted by law. You can opt out of marketing at any time by using an unsubscribe mechanism or emailing info@geocrm.com.au. Operational messages about an account, booking, security matter or contracted service are not marketing messages.

10. Access and correction

You may request access to personal information GeoCRM holds about you or ask for it to be corrected by emailing info@geocrm.com.au. Please provide enough information for GeoCRM to verify your identity and locate the relevant record.

GeoCRM will respond within a reasonable period and may refuse or limit access where permitted by law. If access or correction is refused, GeoCRM will explain the reason where required.

For information controlled by a GeoCRM customer, your request may need to be directed to that customer. GeoCRM will reasonably assist the customer in responding where required by the customer agreement or law.

11. Privacy complaints

To make a privacy complaint, email info@geocrm.com.au with your contact details, the conduct you are concerned about and the outcome you seek.

GeoCRM will acknowledge the complaint, investigate it and aim to provide a written response within 30 days. If more time is reasonably required, GeoCRM will explain why. If you are not satisfied, you may be able to complain to the Office of the Australian Information Commissioner.

12. Changes to this policy

GeoCRM may update this policy when its service, providers or legal obligations change. The current version will be published on this page with its last-updated date. Material changes affecting existing customers will be communicated through an appropriate account or business channel.
